Hello Pete, We have transferred all of our recurring profile invoices over to bullet. However, when trying to mark invoices paid, we notice it takes a long time for the pages to load. Each click to search for the invoice, select, pay, etc, all seem to be slow to action. Is this something you can help speed up? We need to go through 600 recurring invoices every month and the process on bullet is just too slow so we need your help to make it workable for us. Regards, Claire

600 a month, are you sure you shouldn’t be using a billing engine?

  1. Hi Pete. What is a billing engine?
  2. Peter Connor February 5, 2017
It's software designed for large volume billing. Software companies etc use it.
Invoices work by inviting you to pay.
Billing engines work by debiting your card/account then sending an invoice.
    It does all the work.
  3. Thanks for the info Pete. I think our problem is that the business has grown quickly over the last couple of years and we from an admin side we are struggling. Maybe we need to get in touch with an IT type consultant to help steer us in the right direction. From your side so, there isnt anything that can be done to speed Bullet up for us no?

Sorry I'm afraid not. Just be aware we only ask for the basic information needed.
  5. Peter Connor February 5, 2017
What are the invoices billing for? Monthly services, pick ups etc.
  6. we do alarms. so they are recurring invoices, people paying x per month for alarm monitoring & maintenance.
  7. Peter Connor February 5, 2017
    So you direct debit them?
  8. yes. we have direct debit mandate forms (using a company called nuapay)
  9. Peter Connor February 5, 2017
And so Nuapay deposit that money into your account every week or so.
  10. exactly, ya
  11. Peter Connor February 5, 2017
So just create a single invoice for each transfer. That's what we do for our own customers. We don't create 6k invoices each Month.
  12. Peter Connor February 5, 2017
We have a client called 'web clients' and we just an invoice for each transfer.
Actually we just import the bank statement and create it from the reconciliation.
  13. I follow you. We have older clients and newer clients, the newer clients are on nuapay, the older clients had set up a regular standing order form with their banks. its split about 50/50. So some names (e.g. claire o connor) are showing up on the bank statment each month and the ones from nuapy, you just see a series of numbers and letters.
  14. thinking out loud here now,,,,
  15. but if we were to keep say an excel file of all the customers, then tick them off against the bank statement/nuapay report each month, then we would know if someone on the excel list didnt pay... ya? is that how you work it? How would you keep track if someone didnt pay if they dont have their own recurring invoices?

We use a billing engine. It's designed to manage all of that.
  17. Peter Connor February 5, 2017
No accounting product is designed for that.
  18. ah ok. so we are going to need something else like that too. would a billing engine work for us (considering we have existing nuapay and bank standing order payments)?
  19. You know a lot more about it than we do! we should have spoken to you sooner i think!!!
  20. Peter Connor February 5, 2017
I think so. Call Nua in the morning and ask them to recommend one to you. They'll be dealing with it all the time.
Then just book one Invoice a transfer in Bullet. Simple!
  21. thanks Pete. ill do that. Will be in touch with you again.
