Hi folks. I’m using an external assistant to help me get my expenses etc logged on bullet. I see there is an option to give them restricted access to the MONEY OUT section. However, it looks like this still allows them to see all money outs, rather than just expense items. My main concern is their ability to see P30 payments and tax payments etc. Is there any way or any plan to restrict an account to just bills / expenses? (And ideally, just bills / expenses that they have logged)?

Hi,
So with the multi user mode you can lock out all those views, here is avideo I made for you. You can see the full account with tax bills and you can see the restricted account who can’t see any of that, just bills and mileage. 
Have you outsourced this to someone abroad? We’re looking to bring in a service to allow people bring in V.Assistance to do anything they want including accounting stuff.

    The main barrier for me is exposure of some sensitive personal / company info to do it correctly - e.g. They need to see bank statements / credit card statements to see the date that a bill was paid. Some bills contain home address etc. As a first attempt, I'm passing the necessary info to the VA as she needs it.

    I took some time to write up the full process I needed her to follow. She took some time to get her head around it. That's all once-off / set-up cost.

    My process is more complex than it needs to be as I still use an accountant to officially do my books while I migrate myself over to Bullet.

    In terms of hard cash / time, I think the expenses process takes me 4-5 hours every 2 months. Even if I had a fully-trusted, fully-secure VA service, I think it would still take me 1-2 hours to get all the docs together (logging in to various sites and downloading invoices etc). I suppose if I had an employee to do it, I would give them all the necessary logins so perhaps I could drop this to 15 mins. Perhaps this gives you some raw numbers to think about in terms of potential benefits to your customers.

    In terms of budget for this VA to do my expenses, I'd say once she's up and running, it will cost me about €30-40 every 2 months. But remember what I said about the work I still need to do to prep the material for her.

    You would have a pretty unique selling proposition if the client could upload their bank transactions to Bullet and you could restrict a VA's access to only those transactions that could possibly be of interest to someone inputting expenses. (e.g. based on who the payment has gone to - If it's to Revenue or to an Employee, you hide it from the VA). You could also hide the actual bank account details from the VA. If Bullet provided me with that type of secure VA access, you would be saving me a lot more time.

    Ha no. That's great. The VA's we'd use would be Certified Public Accountants, so they could do everything for you.

    The Irish banks should be providing feeds next year so we can automate the 'suck', in of data into your accounts and the VA could do your bank rec, or anything else.
    But we were also looking to open it to chasing up payments for you to getting blog posts written for you.

    As a one-man show, I can't imagine hiring someone else chase up on payments will improve matters greatly. Given the business is probably based on mutual trust / respect, I think the personal phone call is the most effective way to remind someone of an outstanding invoice. If I got someone else to do it, I think it could change the dynamics of the relationship. Although their non-payment would have an impact too!

    Getting someone else to do blog posts for a business? Interesting; maybe some companies are happy to ship this out - Depends on what value they place in the blog, I suppose. Again, as a one man show, I don't run a blog at the moment because if I had one, I think I would want to be the one doing the posts.

    I suppose I don't know what niche Bullet is targeting - For one-man shows like me, the types of low-value tasks I spend my time on and that could benefit from a outsourcing to a VA are probably vastly different from the tasks an SME owner might love to outsource.

    Well we target both. If you could do me a fav that would be great. Have a think about this. If I had a free body in the office what would I get them to do. Don't think of a VA or anything like that just what would be the top things I'd love help with or to magic away. Could be anything from marketing to bookkeeping.

    If you held a gun to my head right now though, the three things I’m thinking about for my VA are tasks that don’t actually need my OCD level of attention - Expenses, Invoice generation, and initial / basic web research.
    ?? Why are expenses time-consuming and low-value:
    Multiple sources of information (invoices online, emails, paper receipts);
    reconciling with bank statements, personal credit card statements, various bank accounts.
    Working out travel and subsistence.
    All takes time and the benefit is a few quid back from the tax man.
    Time better spent on higher-value, paid client work.
    I can define a repeatable and reliable process for someone else to follow.
    ?? Why is invoicing time-consuming and low-value:
    Invoice is usually made up of:
    things I have bought for the client and need to pass-through at cost to them (e.g. WordPress theme / plugin; Google Adwords spend) plus
    my own time (Toggl report generation and export required).
    The ‘invoice’ ends up being three different documents (bullet invoice page, supplier invoice page, toggl timesheet page) combined in to one.
    Time better spent on higher-value, paid client work.
    I can define a repeatable and reliable process for someone else to follow.
    ?? Why is initial web research time-consuming and low-value:
    You start without a clear path.
    You start looking around, reading forums, trying to find places where your targets 'hang out’
    The next thing you know it’s dark outside and you have no idea how to put any structure around what you have read. And you get frustrated at the wasted time so you rush through the process next time.
    I can define a repeatable and reliable process for someone else to follow. The output would be for them to come back and tell me ‘I think you should focus your attention on sites A, B and C for the insight you are seeking’.
    This could expand out into a whole range of areas: e.g. Tell me good places to go in July when you’ve got a lunatic 2-year-old son who has endless energy! Or, tell me what ‘people’ say about whether a two-year old should be given a scooter, a balance bike or a sedative!

    Hi Pete,
    Thanks for that video. I have an account set up that only has privs to PURCHASES.
    When I log in under this account, I can still see summary line items for TAX (e.g. P30) though. See screenshot below:
    I have confirmed that when I click on the line item, it tells me access denied. But the problem I have is the fact they can still see the amount paid on the summary line.
    It doesn’t take a genius to use this amount (or an amount on a VAT payment) to work out what the numbers feeding into this payment are likely to be.
    Perhaps I’m overly-cautious but.. I’m overly-cautious!

    I'd probably say you're over thinking it. We have access to everyone's accounts for support and never ever look at them.
