Hi all. Quick one for you about statements. When I want to create client statements at the end of the month the only ones that appear under ‘Outstanding Statement’ and ‘Accounts Statement’ are the ones that are over due. How can I add any that are in the ‘draft/estimate’ category to this?

Hi,
Account Statement – Will show you everything related to that client
Outstanding – Will show you outstanding 
You can’t add Daft/Est as this reports are technically specific (as in if the client asks for an account statement, or overdue Statement, it has a specific meaning).
You can view Due in the main invoice overview screen, and you can always export all your invoices and sort them in excel to product any report you need.

    OK thanks Pete. So the system doesn't really allow for end of month statement without exporting correct? Or can you edit the due dates on the invoices from 30 days standard to end of that month?

    If you want to see what's due, in the invoices click on the Invoice Overview Page and you'll see everything that's overdue. You'll also have an overdue total in the top reporting nav.
    If you want customer statement we create two of the most common (they're usually for customers).
    If you want more specific statements you can click on Reports on the top nav and you'll get all the management reports there.
    If you want something specific to you, you can export thee data and use excel.
    Does that makes sense?

    Thanks Pete. Yes, we have used the due and overdue features and the account statement features would work for us except for the 30 day terms built in. The Outstanding Statement feature in 'Clients' is exactly what we need but, invoices are not appearing, I assume, as they are in the draft/estimate tab and because of the 30 day terms. Does that make sense? Thus, if we want to run an outstanding statement for a client - none of the invoices are appearing because they are not considered 'due'

Hi,
Nope draft/estimate are invoices/drafts that haven’t been posted to your books. They’re like a work in progress. 
Does that make sense. 
When you create an invoice you need to 

  • send it
  • mark it as sent 



You can also do this in the overview screen.

    Great, that solves it. Thanks Pete. Most of our clients wanted hard copies of the invoices as we delivered so we weren't sending them through the system.

    W.T.HELL! NOT TRUE THROUGH THE SYSTEM.
    All system invoices that get sent to the client have a link to allow the client to download the invoice in PDF/hard-copy.
    We've pushed people to html invoices cause it's 2015 and because we'll be bringing out features to help people chase money off their clients in a smart way!

    Yep, its where we want to go but our clients often don't use email / computers on a regular basis. You might recall we had a bit of trouble with emailing out from our system until recently too so we are changing our business processes to adapt now.

    I'm not blaming anyone Pete! As you know, using systems is a learning curve and we want to get the best out of the system as much as you want us to. Now that I know how to arrange statements it will make life a lot easier. We were not able to figure out why our invoices stayed as draft and now we know so that's great!

    No no no I'm saying DO blame Bullet. Ha, I'm not giving out.
    I ran a client business and they can be painful. I found if you just say "oh the system wont let me do that", they'll just go "ok", and work around it.
